Put AI to work in your business

What AI can take off your plate, and how to set it up safely.

put ai to work in your business

Imagine walking out of a client meeting with the notes written, the actions listed and the follow-up email drafted.

Businesses on Microsoft 365 can do that today with Copilot. And meetings are only the start.

AI is already good at the work nobody enjoys

Task What AI does
Meetings Copilot in Teams writes up the discussion, lists who's doing what and drafts the follow-up email.
Email Get the gist of a 30-message thread in seconds, then draft a reply in your own tone.
Documents Turn a 40-page tender into a one-page summary with the deadlines pulled out, or draft a proposal from your past work.
Finding things Ask "what did we quote the Smith job last year?" and get the answer from your own files.
Numbers Ask Excel, in plain English, to find trends or build a chart.

That's time back for the work that needs a person: looking after clients, winning work and planning ahead.

TIP: Most of these features need the paid Microsoft 365 Copilot licence. The free Copilot Chat that comes with Microsoft 365 is useful, but it can't read your meetings or search your files. A paid license is needed to unlock the full power of Copilot.

Ensure Copilot if set up correctly

For Microsoft users, Copilot only shows each person what they already have access to. That's what makes it useful. It also means that if your payroll folder is open to everyone, Copilot will find it for anyone who asks.

In most businesses, file access has grown over years without anyone checking it. Before AI, an overshared folder was hard to stumble on. With AI, it's just one question away.

Free AI tools are a different problem. Whatever staff paste into them leaves your business. Only 30% of Australian employees say their workplace has a policy on generative AI, according to a 2025 University of Melbourne and KPMG study. Most teams are guessing.

It pays to have a third party audit your current set up and implement the right settings for staff to use AI safely and efficiently.

How we set it up, so you're not guessing

  1. Check your data first. We find and fix oversharing in Microsoft 365 before AI goes anywhere near it.

  2. Choose the right tools. Business-grade AI keeps your prompts and files inside your Microsoft 365 environment, and Microsoft doesn't use them to train its models.

  3. Set the rules. A plain-English AI policy that tells your team what's approved and what never goes in.

  4. Show your team. Practical training built around real tasks from your business.

Client example: We built an AI note-taking setup for a coaching business. The AI writes up each client session. The final notes go into their encrypted vault, and the transcript is deleted from the AI tool. The coaches now focus on the client instead of typing, and confidential notes stay protected.
